PHSS’s Digital Revolution: Improving care and efficiency with 3000 redirected hours & 75,000 more to follow

PHSS is a non-profit charitable organization, founded by families seeking better services for their children with medical and complex needs. Before PHSS, options for long-term care were limited to institutional care homes or staying at home, neither of which allowed for a full and independent life within the community. PHSS was established to provide support for these individuals so they could live in their own homes and actively participate in their communities.

Growth and Challenges

Celebrating 35 years of service, PHSS has grown from supporting just three people to over 300 individuals across 70 locations. This expansion has created its own complexities and its own benefits. Initially, paper-based systems sufficed, but as the organization grew, different reporting mechanisms, payroll challenges, and communication inefficiencies emerged. Therefore, they started to think about how they could do this more efficiently.

The road to transformation

PHSS’s initial attempts at digital transformation were unsuccessful due to the complexity of their needs. After encountering a tech-savvy company in 2017, PHSS invested significant resources only to find the system inflexible. This setback led to a temporary return to paper-based processes. The global pandemic underscored the need for digital transformation, pushing PHSS to seek a more suitable solution. 

Engaging INVORG

In the fall of 2020, PHSS was introduced to INVORG through one of its service partners who was already a satisfied client. The partnership was promising, with both organizations sharing similar values. Brian Dunne noted, “It was important to find a company whose philosophy aligned with ours.” We determined that an out-of-the-box solution wouldn’t work and began developing a custom approach. By the end of 2020, we officially commenced our digital transformation partnership. 

The transformation journey

Our team adopted an agile methodology, involving PHSS in every step. Leslie emphasized, “We’re building something from the ground up that meets all of our nuanced needs.” Our solution replaced the previous system, automating 187 business rules for streamlined timesheet entry and improving payroll efficiency. This transformation saved PHSS over $11,000 annually on paper and toner costs and eliminated the need for storing 52,000 sheets of paper per year. 

PHSS’s journey from a small group seeking better care options to a leader in digital transformation is inspiring. Despite setbacks, their perseverance and our partnership have set the stage for a future where technology enhances their mission.
